When you use Rayvo's services, we collect:
- Business information you provide during onboarding (business name, contact info, services, pricing, hours, service area)
- Account and billing information (name, email, payment method via Stripe)
- Call data from your customers, including audio recordings of calls handled by your AI agent, transcripts of those calls, caller phone numbers, and information shared by callers during the call (names, addresses, service requests)
- Usage data (number of calls, appointment booking rates, agent performance metrics)
2. How We Use Information
We use this information to:
- Build, operate, and improve your AI agent
- Deliver call transcripts and reports
- Process payments and manage your account
- Communicate with you about your service
- Improve our overall service quality
3. Sharing With Third Parties
We share information with third parties only as needed to deliver the service:
- Synthflow — voice AI platform that powers the agent
- Cal.com — appointment scheduling
- Stripe — payment processing
- Google Workspace — email and document storage
We do not sell your information or your customers' information to third parties. We do not use call data to train AI models for other clients.
4. Call Recordings
Calls to your AI agent are recorded and transcribed to deliver the service. You are responsible for ensuring your customers are informed that calls may be recorded, in accordance with applicable consent laws.
You can request deletion of specific call recordings or transcripts at any time by emailing us.
5. Data Retention
- Call recordings and transcripts: retained for 90 days, then automatically deleted unless requested otherwise
- Account information: retained for the duration of your service plus 7 years for tax and legal purposes
- Billing records: retained as required by tax law
6. Your Rights
You may:
- Request a copy of the information we hold about you
- Request correction of inaccurate information
- Request deletion of your information (subject to legal retention requirements)
- Request export of your business data
- Opt out of non-essential communications

7. Cookies and Tracking
Our website uses minimal cookies for functionality. We do not use tracking cookies for advertising. We may use basic analytics to understand site usage.
8. Security
We use commercially reasonable measures to protect your information, including encrypted data transmission and restricted access. No system is 100% secure, and we cannot guarantee absolute security.
9. Children's Privacy
Our services are not intended for individuals under 18. We do not knowingly collect information from anyone under 18.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email. The "Last updated" date at the top will always reflect the current version.
